Publications Issued by Departments, Centers, Courses, and Laboratories within Kyushu University

You can electronically publish internal publications (hereinafter referred to as "internal publications") issued by departments, centers, courses, laboratories, etc., within Kyushu University on the internet via the "Kyushu University Institutional Repository (QIR)".

Please refer to 3.Registration in QIR (Library) on this page for the application procedure.

Below is a general guide on the process for newly electronically publishing internal publications.

1. Permission Confirmation Prior to Electronic Publication (Publisher)

The publisher is responsible for confirming permission from authors, etc., prior to the electronic publication of the publication. There are three possible copyright ownership patterns for bulletins and association journals. Most internal publications published in QIR fall under the "b" pattern.

  1. Copyright belongs to the publisher.
  2. Copyright belongs to the publisher, with free use allowed for the author.
  3. Copyright belongs to the authors, and the rights to digitize and publicly transmit are granted to the publisher.
  • a……The publisher has strong authority. Authors do not have the freedom to use their works, and must contact the publisher for procedures if they make secondary use of their own work (e.g., registering with their institution's repository).
  • b, c……The publisher has the right to publish on their institution's website or repository, while authors also have the freedom to use their works, so no procedures are required for secondary use.
  • c……The publisher is only granted rights for digitization and public transmission, so separate permission from the author is required for secondary use, etc.

If the submission guidelines specify conditions equivalent to a-c, there is no need to confirm permission from authors, etc., prior to electronic publication.

Otherwise, permission confirmation must be done by individually contacting all authors of the published papers or by sufficiently notifying about the permission on the website, etc., for a sufficient period. Additionally, it is recommended to revise the submission guidelines for future volumes to allow for electronic publication.

2. Creation and Provision of PDF Files (Publisher, Library)

The papers published from QIR are usually in PDF format.

When sending large electronic data to the library, please use the Kyushu University File Sharing System (Proself).

2-1. Back Issues

In principle, please provide data in electronic format.

If electronic data does not exist and it is necessary to scan the printed internal publications to create PDFs, the library can outsource the scanning work to a professional contractor. Please consult in advance as an estimate of the cost will be required. Additionally, please provide one copy of the printed material that can be cut for digitization. If the number of items to be digitized is small, the library can also perform the scanning work (free of charge).

2-2. Future Publications

Please arrange for the printing company to also deliver PDF files at the time of publication of the printed material.

Some printing companies may be able to send the files directly to the library.

3. Registration in QIR (Library)

After receiving the data, the library will proceed with the registration work. If registering back issues in bulk, it usually takes several months, so if the publisher can proceed with the permission confirmation in step 1 during this period, the time to publication can be shortened.

If you wish to register continuously, please download and fill out the registration application form below, and submit it by email or mail to the inquiry address at the bottom of this page.

4. Publication (Library)

Once steps 1-3 are completed, the internal publications will be published on the internet. Papers registered in QIR can be searched from the search window on the library's website homepage (Kyushu University Collection) and Google Scholar, and will also be linked to the full text from CiNii Research.

Additionally, an index page is prepared for each internal publication.

5. Obtaining e-ISSN (Publisher)

Using the internal publications page in step 4, you can apply for registration as an online journal with an e-ISSN. If desired, please apply directly to the Japanese National Centre for ISSN (National Diet Library) from the publisher.

6. DOI Registration (Library)

DOI (Digital Object Identifiers) can be registered for journal articles and other papers registered in QIR. By registering a DOI, a globally unique identifier can be assigned to the papers, which can be used for access and citation.

The DOI assigned by Kyushu University will be in the format "10.15017/~" or "10.5109/~". Papers with a DOI can be accessed from the URL DOI.
